Pharmacy Record-Keeping Requirements you should be aware of for the MPJE

Pharmacy record keeping is critical to ensuring patient safety and compliance with Federal pharmacy laws. These records serve as documentation of the dispensing process and provide valuable information in the event of an audit or investigation (by DEA, BOP, FDA). Pharmacies must follow specific record-keeping requirements under state and Federal law to ensure the safe and effective use of medications.

 

In the hospital setting, records must be kept for a minimum of two years and must include the patient’s name, drug name, dose, route of administration, and date of dispensing. In addition, the hospital pharmacy must maintain records of all controlled substances, including the date of receipt, date of dispensing, and the name of the individual who received the controlled substance.

 

Community pharmacies, on the other hand, must keep records of all controlled substances for a minimum of two years and records of all other drugs for one year. These records must include the patient’s name, drug name, strength, dosage form, quantity dispensed, and the name of the practitioner who prescribed the drug.

 

Long-term care facilities are also subject to record-keeping requirements under state and Federal law. Records must be kept for a minimum of two years and must include the patient’s name, drug name, strength, dosage form, and quantity dispensed. In addition, the facility must maintain records of all controlled substances, including the date of receipt, date of dispensing, and the name of the individual who received the controlled substance.
